The role of Office Manager will oversee the day-to-day operation of the Malta office, liaising at all levels within the Organisation as well as with clients to ensure that the Company’s solutions and products are delivered to complete satisfaction.
Responsibilities
- Act as on-site lead to allocate resources, maintain company services and ensure a secure, clean and safe facility
- Drive effective process efficiencies of the business
- Effectively manage a small team to ensure world class customer service by providing regular feedback, coaching and skills development programs
- Conduct annual employee performance reviews in line with company policy
- Meet with clients face to face as required, which may involve national/international travel
- Accurate reporting of key business information such as sales, forecasts and stock reports
- Support the Sales function by actively gathering information from customers regarding forecasts and sales plans, providing comprehensive data analysis and recommendations to relevant teams
- Co-ordinate effectively with our UK Operations to ensure clear information and sufficient stocks
- Utilise the Company systems ensuring inputted data is prompt and accurate and serve as a subject matter expert for the team, traders and our main clients
- Manage QA programs and continuous improvement: strategize workflows and develop and improve process documentation in line with company standards
- Project manage the development and implementation of staffing and business plans to achieve business targets
- Accountable for achievement of site and overall business KPI’s, inspiring employees to achieve their targets
- Conduct various finance related tasks such as banking, end of day balance sheets, supplier invoice approvals
- Ensure commercial, legal (including H&S) and technical compliance associated with the site operation
- Manage relationships with the Landlord and key utility/service providers
- Act as on-site contact for coordinating any project related activities with government agencies and other organization
Skills & Experience
- Be fluent in written and spoken English. Maltese language skills would also be advantageous
- Demonstrate the highest level of integrity, discretion and confidentiality at all times
- Excellent leadership, communication, planning, coordination and decision making abilities
- A clean police conduct certificate
- A degree in a business related field would be preferred
- At least 3 years of management experience or working in a role where management responsibilities have been demonstrated
- Advanced I.T. Skills and MS Office (Word, Excel, PowerPoint, Outlook, etc.)
- Ability to work to strict deadlines and prioritise
- Demonstrate a positive can-do attitude and motivate employees with role model leadership behaviour
- Ability to multi-task, be self-motivated and able to work on own initiative as well as in a team environment
- Flexibility to accommodate ever-changing working environment
